IJA Board Meeting - May 17, 2006

1. CALL TO ORDER: David Davis called the meeting to order at 8:03 p.m. Eastern time.

2. ROLL

Present: David Davis, chair; Tim Furst, Joyce Howard, Kim Laird, Jerry Martin, Jim Maxwell, Bob Neuman, board members; Sandy Brown, board nominee; John Satriano 2007 fest coordinator.

4. PREVIOUS MINUTES: Minutes of the April 19, 2006 meeting approved by unanimous consent.

5. REPORTS

Festivals: 2007 - John Satriano reported on his site visit to Winston-Salem.

05/17/07 John's 2007 Festival Report

Winston Salem is a nearly ideal location for the festival. All the festival sites are within a 2 block radius and the area is clean and well landscaped. There is a good variety of off site attractions and wireless broadband internet access is available for free everywhere in the downtown area. There are many restaurants in the area but very little late night food. I am looking into solutions for this.

The facility offers 85K sq. feet of meeting space, half carpeted and half concrete, with ceilings from 18-25 feet (1 area of 15 ft ceiling). It offers a facility wide PA system and there is a perfect place to build a 3 tiered riser/concrete stage. The hotels are all modern, clean and offer full ameneties. The Embassy Suites offers all suites with full kitchens. The Theater is a beautiful old building that has been fully re-furbished with ultra-modern tech. The seats are brand new and very comfortable.

We have found a potential location for the Midnite show that is absolutley ideal with a full stage and tech. I am currently undergoing negotiation to see if we can lock it up. Our only other option is to build a tent in the back parking lot.

The Joggling track has just undergone refurbishment. It is located in a municipal park about 1 mile from the CC and comes free of charge. It has bleachers and marked running lanes. I am looking into an indoor YMCA track as a weather backup but it is very cramped with no viewing area and comes at a cost.

The CVB has offered to supply free printing, free workers, tours of the surrounding attractions for families and full publicity services.

I am currently considering a package price increase of $10 for the early bird package along with a slightly higher increase for later registrations. I would offer a $40 discount to youths/seniors across the board (this equates to a 25% discount for early birds, 20% at the festival). The package would include everything but the DVDs.

Finances - Kim Laird reports that Kaskade and other debts now paid; testing Quickbooks method for future payments.

MMCC - Joyce Howard reports that the MMCC information is now on the web site and donations are accepted through the store. We are waiting for an opinion from our lawyer before we publicize the donation request to the members.

Awards Committee - Bob Neuman reports that award nominations are being solicited, and things are going smoothly.

JUGGLE magazine - Kim Laird moves that the IJA BoD accept the offer made by Stan Allen for 2 additional issues of JUGGLE (Sept/Oct and Nov/Dec) beyond the contract at a cost of $13,666 per additional issue. Discussion ensued. In favor: Tim Furst, Kim Laird, Jerry Martin, Jim Maxwell, Bob Neuman. Opposed: David Davis, Joyce Howard. Motion approved.

Membership - Jim Maxwell proposes that the Board authorize spending of up to $500 for the purchase of 2 FileMaker Pro 8 licenses (one new and one upgrade) for management of the memberships database, and to grant Mike and Marilyn Sullivan permissions to finish executing the proposed transition plan. Dave Davis asked for a few weeks (until Jim's 30-day free trial of FileMaker Pro expires on June 12) to present a MySQL-based membership solution that is comparable to FileMaker Pro in serving the Membership Coordinator needs for the Portland festival. Jim agreed. Motion approved by unanimous consent.

Video contracts - Joyce Howard moves that we accept the festival video contracts for Alan Plotkin and Jack Kalvan. Motion approved by unanimous consent.

8. NEXT MEETING: Next meeting will be held 8 pm Eastern time June 6, 2006.

9. ADJOURNMENT: Jim Maxwell moved to adjourn. Meeting was adjourned at 9:16 p.m. Eastern time by unanimous consent.
