Regular Board Meeting February 17, 2010...
1. CALL TO ORDER: Chair Kim Laird called the meeting to order at 8:37 p.m. EST.
2. ROLL:
Present: Kim Laird (Chair), Anthony Shave, Kevin Axtell, Richard Kennison, Kevin McBeth (Board Members) , Mike Sullivan (future fest site coordinator), Marilyn Sullivan (memberships director), Brandi Slater (recording secretary) Martin Frost (communications director)
Absent:Ken Farris, Thom Wall, Holly Greeley (bookkeeper)
3. APPROVAL OF AGENDA: Kevin Axtell moved to approve the agenda for February 17, 2010. Seconded by Richard Kennison.
4. APPROVAL OF MINUTES: Kevin Axtell moved to approve the minutes from the regular board meeting of January 20, 2010. Seconded by Richard Kennison.
5. REPORTS:
2010 Fest (Kim Laird)... Kim did a site scouting in Nevada. The only two negatives that stood out were the ceiling height in the showroom (19 feet) which could be a problem for competitors and performers. All competitors and performers will be notified of the height. The ceiling height will also be posted on the championships section of the website. The internet is also challenge in both the gym and the hotel. Internet service in the hotel is $9.99/day $49.99 for the week) and there are login problems. It only covers one ISP number, so each individual computer would have to purchase a code in the case of families with multiple computers. The convention center floor is $195/day for the IJA registration table to get wireless access in the gym. The internet company quoted an additional $50/day cover unlimited additional users while the convention services contact quoted $50/day per additional user.
Cigarrete smoke smells are noticeable very late night and weekends. During days and the week smoke is negligable. For bounce juggling, the only uncarpeted place was a storage room. A 15X15' parquet floor would be $100 to use for the week and could go on the floor of the main gym, and silicone balls tested on it bounced well. A small stage will be set up in the gym to hold prop competitions, and the highest ceilings are in the main gym so numbers competitions will be on that stage as well. There will be no charge for the stage.
The gym layout is on its way to the fire marshal for approval, and a copy machine will be set up by 8am on Monday. In the Showroom we can use balloons as long as they get cleaned up. There will be complimentary water stations in the gym. Shipping address for vendors is 1100 Nugget Avenue C/O IJA. Items may be shipped 2 weeks prior to the fest.
Fire night is still being worked on, and may end up being more of a show than an open jam. There could be a group airfare discount if there are at least 10 IJA members interested in using it.
Renegade will be hosted at the Great Basin Brewery, a microbrewery and cafe. A tour of the microbrewery for IJA members is being arranged possibly for Tuesday early evening. http://www.greatbasinbrewingco.com/
Special Guest, Kris Kremo, will have limo service from the airport to the hotel.
Future Fests (Mike Sullivan)... No report.
Financial (Kevin McBeth & Holly Greeley)...The 2009 year end balance sheets have been sent to the board.
Store (Sandy Brown & Kevin McBeth)... Things are ready for fest registration and running smoothly.
Membership (Marilyn Sullivan & Jim Maxwell)...

Question: Does a lifetime member have an expiration date of 12/31/2099 or LIFETIME=YES flag? There are 240 members with LIFETIME=YES and 293 with the 12/31/2099 expiration date. That is quite a difference. Those with the expiration date include people getting free subscriptions.
Membership Drive (Kim Laird)...Just started on Feb 14. The next newsletter will have an update on the drive and there is a full page ad in the upcoming issue of Juggle.
Education (Kevin Axtell)... No report.
Marketing/Promotions (Thom Wall)... Shalom Blue sold just shy of $2000 worth of props because of our advertising his sale. I haven't heard back from Kendama.net yet. Brontosaurus balls has a sale on March 1st.
Youtube contest is going slowly... I posted the press release contactjuggling.org, as well as on some hooping community sites. If anyone has any ideas as to other places to advertise, that would be rad. I'm a little surprised that there's only been one entry to the contest so far, but then, we did only announce it two weeks ago. I did email all of the US and UK clubs with listings on the IJDB, but if you know of other places/people to contact about it, I'd appreciate it.

Discussion: Received a request from the videographer to make royalty free music a requirement for the sake of the videos. Motion was amended to read "Motion to approve requirement to use royalty free music for IJA competitions beginning with the 2011 competition."
